Square Account Access

Thank you for trusting Vibe Digital Marketing with your project. To build your Square Online site and set up your items, orders and marketing, we’re added to your Square account as a team member. This is the same method Square asks its own certified agencies to use, and you can turn our access off at any time.

At a glance

  • You’ll need: the Square account owner (or an admin) on a computer
  • Access to give us: Full access for website builds, or a custom permission set for marketing-only work
  • Time: about 5 minutes
  • Who to invite: Use the email address your Vibe account manager gave you. Not sure which one? Email info@vibedigital.marketing and we’ll tell you.

Steps

Step 1: Open Team members

Sign in at squareup.com and go to Staff > Team > Team members. (On some accounts the menu still says Staff & payroll.)

Step 2: Add a team member

Click Add team member.

Step 3: Enter our details

Enter your account manager’s first name, last name and email address, then click Next.

Step 4: Job and pay

For the job title, type Marketing (or Vibe Digital Marketing). We aren’t your employee and we invoice you separately, so don’t add us to Square Payroll. If Square shows a pay type of None or an Overtime exempt option, choose those. Click Next.

Step 5: Choose our permissions

Pick the option that matches the work we’re doing for you:

  • Building or editing your Square Online website: choose Full access. It covers everything except your bank accounts and transfers, and it’s what Square Online editing needs.
  • Marketing only, on Square Plus or Premium: select Create a new permission set, name it Vibe Digital Marketing, and turn on Online, Items, Orders, Customers and Marketing (plus Appointments if we’re setting up online booking). Make sure Dashboard access is on.
  • On the free plan: choose Full access, or the built-in Team Permissions set if your account manager says that’s enough.

Step 6: Locations

Give us access to every location your website or marketing uses (usually all locations).

Step 7: Authorized Representative

Leave Authorized Representative turned off, unless your account manager asks for it so we can speak with Square Support on your behalf. (Full access may switch it on automatically, so check it.)

Step 8: Finish

Click Generate next to the personal passcode, then Next and Done. Square emails us an invitation, which we’ll accept. Let your account manager know once you’ve finished.

Good to know

  • Square invitations stay valid for 30 days, so there’s no rush on our side to accept.
  • You can deactivate our access any time under Staff > Team > Team members.
  • Custom permission sets come with Square’s Advanced Access, which is included in Square Plus and Premium.
